IMPORTANT INFORMATION

Smoking in accommodation units are strictly prohibited. 


No clothe washing facilities available on site, references can be provided


No unit is serviced during stay


No pets are allowed, except guide dogs. 


Own towels and dishcloths must be brought by clients.


No music from motor vehicles or private sound systems/equipment is permitted at the resort.  Please consider the other guests by keeping the noise levels as low as possible.

 

Silence must be maintained between 22:00 and 07:00. 


No motorbikes or ATV four-wheelers are allowed at the resort. 


Only accepted swimwear is allowed. 


Please note that during our out of season midweeks, there may be conference and/or school groups at the resort.

Terms and conditions for online bookings

  1. The booking request merely represents an application for accommodation, and does not constitute an official reservation. 
  2. The booking is only confirmed once the resort provides a booking confirmation. A deposit of 70% of the total account will be payable and must be paid on or before the due date to confirm the booking. 
  3. Deposits received will be forfeited in the event of cancellations. 
  4. In addition, no money will be reimbursed if guests leave the resort earlier than planned (see cancellation policy). 
  5. The payment of deposits must occur on or before the due date stipulated on the resort’s booking request form in order to secure bookings. 
  6. Failure to pay the deposit on or before the due date will lead to the cancellation of the booking without prior notice. 
  7. All outstanding costs must be paid in full before arrival. 
  8. On arrival a Breakage deposit of R1000 needs to be paid.
  9. All amendments to bookings must be made in writing. 
  10. Reservation fees apply. 
  11. Special tariffs will be considered upon request and if possible. 
  12. Arrival and departure times: Check in: 14:00. Check out: 10:00.
  13. Upon arrival, the guest accepts that the resort is indemnified against any liability should guests sustain injuries or incur any loss during their stay. 
  14. Guests will also undertake to adhere to the rules of the resort. 
  15. No pets allowed, except guide dogs for the blind and visually impaired. 
  16. Tariffs are subject to change without prior notice. 
  17. There will be no minimum-stay requirement for accommodation bookings over the March/April school holiday at the resort. However, if Easter weekend happens to coincide with this holiday, the long-weekend rule will apply, i.e. that bookings must be for the entire Easter weekend. 
  18. Bookings the resort for the December/January school holiday are subject to a minimum stay of tree days for accommodation.



Online booking credit card payments

-Payments will be made through an EFT with banking details supplied.



BOOKING CONDITIONS


  1. Rates are quoted in South African Rand (ZAR). 
  2. Rates may be changed without prior notice. 
  3. Upon arrival you will be:
  4.  Required accept the resort’s indemnity. 
  5. Issued with keys and/or remote.
  6. Requested to pay Breakage Fee of R1000 (if not paid via EFT) 
  7. Only certain unit types can accommodate an additional person. Please contact reception for more information. Please note that the additional person fee does not include a bed, mattress or linen. 
  8. Group bookings apply when 2 or more units are booked by the same person. 
  9. No group gatherings are allowed between units, groups must book an entertainment area (subject to availability). 
  10. Relevant entertainment fees are applicable during certain peak periods. (Please enquire about the amount due.)



DEPOSIT AND CANCELLATION POLICY


  1. For cancellations more than 30 days before the date of arrival there will only be an administrative fee of R300 for the repayment of the deposit. 
  2. Between 0-7 days of arrival, forfeit 100%. 
  3. Between 8-15 days of arrival forfeit 50%. 
  4. Between 16-30 days of arrival forfeit 25%. 
  5. In the case of cancellation because of death (or any other acceptable reasons out of your control) an administration fee of only R100 will be required if you provide supporting evidence. 
  6. Bookings more than 30 days in advance of the date of arrival require a 70% deposit within 48 hours (including bookings within the preferred booking period) and the balance must be paid in full 30 days before arrival. 
  7. Bookings less than 30 days in advance require a 100% deposit within 48 hours. 
  8. Bookings for one night require 100% payments within 48 hours no matter how far in advance you made the booking. 
  9. If the first deposit period is ignored, the booking might be cancelled. 
  10. Payment arrangements will only be considered after the receipt of the first 70% deposit. 
  11. Other arrangements can be done from that time until 30 days before arrival by when the full outstanding amount should be paid.
  12. No booking will be confirmed without a deposit paid (of the total account, which includes date and admin fee).

Cancellations for conference groups:

Small to medium-sized bookings:

  1. 42 days (6 weeks) or more days before the arrival date – client is free to cancel the booking, to downgrade or to move the date without cancellation fee. 
  2. 41-28 days (between 6 and 4 weeks) before the arrival date – 40% of the total invoice amount is payable. 
  3. 27-15 days (between 4 and 2 weeks) before the arrival date – 75% of the total invoice amount is payable. 
  4. 14-0 days before the arrival date – 100% of the total invoice amount is payable. 
  5. Until 48 hours before arrival the number of participants may be reduced by 10% without any penalties only through written communication.

Bigger group bookings, with more than 70% of the resort's capacity:

  1. 68 days (24 weeks / 6 months) or more days before the arrival date – client is free to cancel the booking, to downgrade or to move the date without cancellation fee. 
  2. 67-56 days (between 24 and 8 weeks) before the arrival date – 40% of the total amount that is payable. 
  3. 56-15 days (between 48and 2 weeks) before the arrival date – 75% of the total invoice amount is payable. 
  4. 14-0 days before the arrival date – 100% of the total invoice amount is payable. 
  5. Until 48 hours before arrival the number of participants may be reduced by 10% without any penalties only through written communication.

Permission for the use of photos and information

Photos that will be taken of guests/customers at Cosy Haven resort and written material produced by participants in Cosy Haven resort's activities may be used and applied in one of the following ways:

  1. To keep record of Cosy Haven resort's activities. 
  2. As a photo focus point for the evaluation of an activity. 
  3. For marketing purposes.


Individuals' names or any of those individuals' or the group's information will not be provided and/or made available by Cosy Haven or its representative. 


Cosy Haven reserves the right to refuse the disclosure of photos if Cosy Haven views this refusal as not being in the child's best interest. 


The photos and/or written material will not be sold or released. 


The photos and/or written material will become the property of Cosy Haven.
